Step 3: Export and use. Copy the text into a Word doc, Google Doc, or email. If you asked for HTML or Markdown, paste it into your website or invoicing system. You can also ask the AI to output a plain-text version for email.

Tips for Better Results

Be specific upfront. Include invoice/quote number, dates, addresses, itemized services, rates, tax, and payment terms in your first prompt. It saves back-and-forth.

Ask for the format you need. If you want Markdown, HTML, or plain text, say so. If you want bold headers or a table layout, mention it.

Use it for recurring templates. Once you’ve generated an invoice you like, save the prompt and the output. Next time, swap in the new details and ask the AI to regenerate it. You’ll have a consistent format without maintaining a template file.

Double-check the math. AI is usually accurate, but always verify totals, tax calculations, and line-item math before sending.

Combine with your workflow. If you use invoicing software like QuickBooks or FreshBooks, you can still use AI to draft the content, then paste it in or use it as a reference.

When to Use AI vs. Invoicing Software

AI works best for:

  • One-off invoices or quotes
  • Custom formatting or unusual requests
  • Speed when you don’t have access to your usual tools
  • Drafting content before entering it into accounting software
