Planning a trip used to mean dozens of browser tabs, spreadsheets, and hours of research. AI tools like ChatGPT, Claude, and Gemini can now handle the heavy lifting—from building itineraries to finding restaurants to comparing flight options—in a fraction of the time.

Here’s how to use AI to plan your next vacation, business trip, or weekend getaway, step by step.

Start with a Detailed Planning Prompt

The key to getting useful travel advice from AI is being specific. Instead of asking “Plan a trip to Italy,” give the AI context about your preferences, budget, travel dates, and interests.

Try this prompt template:

“I’m planning a [number of days] trip to [destination] in [month/season]. My budget is [amount] per person. I’m interested in [activities/interests]. I prefer [accommodation type]. Can you create a day-by-day itinerary with specific recommendations for hotels, restaurants, and activities?”

For example: “I’m planning a 5-day trip to Barcelona in September. My budget is $2,000 per person. I’m interested in architecture, local food, and art museums. I prefer boutique hotels. Can you create a day-by-day itinerary with specific recommendations?”

ChatGPT, Claude, and Gemini will all generate detailed itineraries. ChatGPT with web search enabled (now available on the free tier) can pull current information about opening hours and prices.

Use AI to Research and Compare Options

Once you have a rough itinerary, use AI as a research assistant to dig deeper into specific elements:

  • Hotels: Ask “Compare these three hotels in Barcelona’s Gothic Quarter: [names]. Which offers the best value for a couple interested in walkability and local character?”
  • Restaurants: Try “Find highly-rated tapas restaurants in El Born that are open for lunch and don’t require reservations weeks in advance.”
  • Transportation: Ask “What’s the best way to get from Barcelona airport to the city center? Compare cost, time, and convenience of each option.”
  • Activities: Use prompts like “Suggest 3 lesser-known architectural sites in Barcelona beyond Gaudí that are worth visiting.”

Claude excels at nuanced comparisons and can weigh multiple factors. Gemini has strong integration with Google services and can sometimes surface real-time availability information.

Create Packing Lists and Travel Checklists

AI can generate customized packing lists based on your destination, activities, and trip length. Ask:

“Create a packing list for a 5-day trip to Barcelona in September. I’ll be doing city walking, visiting museums, and dining out. I’m staying in a hotel with laundry service.”

The AI will generate a practical list you can copy into your notes app. You can also ask for pre-trip checklists: “What should I do to prepare for international travel to Spain from the US? Include documents, money, phone/data, and any other essentials.”

Build a Shareable Trip Document

If you’re traveling with others, ask ChatGPT or Claude to format your itinerary as a structured document you can share:

“Take this itinerary and format it as a clean, day-by-day schedule with times, addresses, estimated costs, and booking links where applicable.”

Copy the output into Google Docs or Notion. You can also ask the AI to create a budget breakdown: “Estimate total costs for this trip including flights, accommodation, food, activities, and transportation for two people.”

For ongoing trip adjustments, use ChatGPT’s memory feature (available in the free tier) to save your preferences: “Remember that I prefer morning flights, boutique hotels, and local food experiences over tourist restaurants.” The AI will apply these preferences to future travel planning conversations.

Use AI for Real-Time Travel Help

Don’t stop using AI once your trip starts. ChatGPT and Claude mobile apps work great for on-the-ground questions:

  • “It’s raining in Barcelona today. Suggest 3 indoor activities near the Gothic Quarter.”
  • “Translate this Spanish menu item and tell me what it is.”
  • “I have 2 hours before my dinner reservation. What’s nearby worth seeing?”

The voice mode in ChatGPT (available on mobile) is especially useful for hands-free navigation help and quick translation questions while you’re out exploring.

AI won’t book your flights or hotels for you (yet), but it dramatically cuts down research time and helps you make better-informed decisions. The next time you’re planning a trip, start with AI—you’ll wonder how you ever managed with dozens of browser tabs.
